Privacy Policy

Co-Manager is a product of Digital Software (digitalsoftware.co, "we"). It helps Instagram Business and Creator accounts plan and publish content and answer comments and messages with AI. This policy explains what data we process, why, and the choices you have. For data about your customers (the people who comment on or message your account), you are the controller and we process it on your instructions.

Data we process

• Your account: name, email and an encrypted password if you use email sign-in; your language and notification settings.
• Your Instagram account basics (account ID, username, name, profile picture) and an access token issued by Instagram, stored encrypted.
• Content: posts you create or schedule, photos and videos you upload to your media library, and graphics or reels Co-Manager makes from them.
• Engagement: comments on your posts and direct messages sent to your account, so you and the AI can reply.
• Customers (light CRM): usernames of people who comment or message you, and contact details they choose to share in a message (such as a phone number), with notes and tags you add.
• Insights metrics for your account and posts, and public profile metrics of competitors you choose to compare with.
• Business information, brand voice notes and memory you build up in the app.
• Team members you invite (email, role) and an activity log of what was done, by whom or automatically.
• Billing status. Payments are handled by PayPal; we never see or store card details.
• If you turn on notifications, a push subscription for your device.

How we use it

Only to provide the service you set up: publishing your content, drafting and sending replies and messages on your behalf, preparing posts from your media, showing analytics and recommendations, and sending you notifications. We never sell data, never use it for advertising, and never use your or your customers' data to train AI models.

AI processing and automated messages

Text and images are sent to our AI provider, Anthropic (Claude), to generate drafts, replies, descriptions and analysis. Anthropic processes this data on our behalf and does not use it to train its models. Depending on your settings, Co-Manager may reply to comments and messages automatically; by default, the first automatic message in a conversation says that it is an automated reply. Anyone can ask to talk to a person, or reply "STOP" to stop automatic messages.

Service providers

• Meta (Instagram) — the platform we connect to on your behalf.
• Anthropic — AI processing (United States).
• PayPal — subscription payments.
• Our hosting and email providers — storing data and sending account emails.

Where data is transferred outside your country (for example to the United States for AI processing), we rely on appropriate safeguards such as standard contractual clauses.

Retention

We keep data while your account is connected. Direct message text is deleted after 12 months. When you disconnect an Instagram account or remove the app, its data is deleted from our systems; backups are overwritten within 30 days.

Your rights

Depending on where you live (for example under the GDPR, the Saudi PDPL or the UAE PDPL) you can ask to access, correct, export or delete your data, and object to or restrict processing. Your customers can contact you, or us, to exercise their rights; we will help you respond. We answer requests within 30 days.

Data deletion

You can delete all data for an Instagram account at any time in Settings → Instagram account → Remove, or by removing the app in Instagram (Settings → Website permissions → Apps and websites). Either action permanently deletes the stored data from our systems. Individual customers can be deleted from the Customers page. You can also email us to request deletion.

Security

Access tokens and passwords are encrypted, data is separated per business, and team access is limited by role. If a security incident affects your data, we will notify you without undue delay.
